POSITION PURPOSE AND EXAMPLES OF WORK:
To provide filing, copy, facsimile, mail, scanning and other immediate general office duties.
MAJOR TASK STATEMENTS & REPRESENTATIVE ACTIVITIES (Percentage of Time):

25% Creation of personnel files
Creating physical and electronic version of personnel files for all new hires.
Creating physical and electronic version of the termination files for all terminated employees.
Creating physical and electronic version of investigation and grievance files.
25% Sort and file personnel documents
Sort filing alphabetically, numerically, and/or by other predetermined categories and file in appropriate files.
Utilize computer to access numbers of other pertinent information related to cases.
Open, date stamp, and distribute mail and reports to staff.
25% Data entry and scanning of documents into electronic files
Data entry of items into the Human Resource Information System (HRIS)
Scan a variety of personnel related documents into electronic files on the computer.
10% Copy and fax documents for staff
Copy files, reports, and other documents.
Operate facsimile machine.
10% Search, retrieve, and return personnel files in a central records area
Maintain strict control of the whereabouts of files.
File and retrieve requested files from warehouse or storage area.
Perform light to moderate lifting tasks related to carrying files.
5% Perform other clerical duties relating to operation of the assigned unit
Answer telephones and determine and provide pertinent information to authorized personnel and/or direct caller to appropriate party.
May act as receptionist, sort and date stamp incoming mail and facsimiles.
May work at counter or front desk and assist court staff and customers.
Maintain confidentiality of all files and records.
Maintain inventory of files in warehouse and when needing to be purged.
Attend training as required.
Perform related work as required to include but not limited to serve on teams/committees as assigned, cross-train for other jobs as assigned, and work on special projects as assigned.
SUPERVISION OF: None.
SUPERVISION BY: Unit Manager of Shared Services provides general supervision.
SERVICE RESPONSIBILITY:
INTERNAL: All levels of Court staff.
EXTERNAL: General public.
PRIMARY EQUIPMENT, TOOLS & MATERIALS USED: Computer, copier/printer/scanner/fax, telephone, desk scanner, and Judiciary operating rules or handbooks.
MINIMUM EDUCATION AND EXPERIENCE:
(Education above the minimum stated may be substituted on a year for year basis for the required general experience; experience above the minimum stated may be substituted on a year for year basis for the required education.

EDUCATION: High School diploma or equivalent.
EXPERIENCE: One year general office experience is preferred.
SPECIAL REQUIREMENTS:
Must submit to and pass criminal background check as prescribed by Courts.
Employees in this position are subject to random and reasonable suspicion testing for illegal drug use.
