We are a bilingual congregation (Spanish and English) of the Lutheran Church–Missouri Synod and hold to Christian beliefs as found in the Bible and the Apostles and Nicene Creeds.
As the first point of contact for the church, we expect the Office Manager to embrace and affirm our focus and be involved in a Christian congregation.
This person must also be fluent in both English and Spanish, written and verbal.
We are a welcoming and affirming congregation, living out our faith as followers of Jesus.
In this key role, the Office Manager is responsible for supporting the day-to-day operations of the pastor and staff, managing the use of the church building and supporting the food pantry where appropriate, providing frontline hospitality, managing church communication, and conducting some bookkeeping.
AREAS OF RESPONSIBILITY:
Office Management
* Maintain an on-site presence at the church building on Tuesdays, Wednesdays and Thursdays from 9:00am-1:00pm.
* Serve as the first point of contact for the church and create a welcoming and professional atmosphere for all inquiries by phone, email, and in person.
* Maintain records of church members, pledges, and donations.
* Act as the executive assistant to the pastoral staff, and provide support for other church leadership, both volunteer and paid.
* Create and maintain content for the web site and social media platforms as needed.
* Manage incoming and outgoing mail.
* Ensure the phone is answered and/or calls are returned during office hours.
Maintain the phone voicemail system.
* Record cash receipts and record weekly offerings for tax purposes.
* Manage accounts payable and accounts receivable.
* Conduct a monthly reconciliation of all bank accounts.
* Compile and generate monthly financial reports for the Stewardship committee.
* Maintain an orderly filing system.
* Create and send publications and mailings as needed.
Building Management
* Oversee use of the building and make lists of maintenance items that need to be addressed.
Communicate those needs with the necessary people.
* Purchase and manage inventory of cleaning and office supplies.
* Ensure that thermostats are programmed appropriately according to scheduled events and the seasons of the year.
* Facilitate regular maintenance and emergency service of equipment as needed.
* Request and facilitate inspections as necessary to ensure compliance with local and federal ordinances.
QUALIFICATIONS:
* A personal faith in Jesus that you live out in your day to day life.
Also be in regular attendance in a Christian Church.
* Strong administrative and computer skills, including a desire to learn and implement computer software systems.
* Excellent oral and written correspondence (Spanish and English).
* Strong organizational skills and attention to detail.
* Reliable and respectful.
* Ability to balance and prioritize many simultaneous projects, flexibility.
* Ability to work both independently and with a team.
Strong collaborator in working with members of the congregation and staff.
* Ability to coordinate projects and follow up with multiple people.
* Ability to exercise good judgment, confidentiality, diplomacy, and sensitivity to all persons, regardless of faith, economic status, disability, culture, race, age, gender, sexual orientation and human condition.
* High School diploma or equivalent.
