Job Title: Community Association Manager (Homeowners Association Management)
Department: Property Management
Reports To: Director of Property Management
Job Type/Hours: Full-time, 40 hours per week, benefits-eligible
POSITION SUMMARY: Provides management, direction, and leadership to efficiently operate communities with distinction.
What you will do:
Respond to emails, phone calls and correspondence in a timely and professional manner maintaining a high level of communication regarding board members and residents’ concerns.
Provide a high level of service including timely and complete resolution of board members and residents’ concerns and requests, responding to questions accurately using good communication and composition skills, while maintaining service-minded problem-solving skills.
Ability to work well with others in various roles.
Ability to take charge and lead board members in need of support.
Ability to take direction and carry out instructions given by board members.
Supports the Company’s philosophy, goals, and vision and adheres to Company policies.
Creation and amendment of policies and procedures based on best practices and legal counsel.
Implementation of new or amended policies and procedures as required by law and governing documents.
Prepare for and attend board and member meetings in associations within individual portfolios.
These meetings are often after-hours meetings between 5:00 pm - 8:00 pm.
Develop and complete Board packets, Management Reports, and Action Item lists, following up accordingly.
Provide monthly financial reviews at board meetings.
Compare budget vs actual income and expenses giving explanations of notable variances in monthly and YTD financial reports.
Annual budget preparation.
Provide board and homeowner training on company portal.
Serve as a liaison between association boards, vendors, homeowners, and staff while maintaining professional relationships.
Prepare scopes of work for various projects, obtain proposals from vendors, create proposal comparison spreadsheets.
Pragmatically discuss issues and offer resolutions to homeowners, board members and vendors.
Maintain familiarity of each community’s governing documents and restrictions, process violations using company software.
Maintain knowledge of municipal statutes
Keep up to date equipment and maintenance logs.
QUALIFICATIONS REQUIRED:
Strong computer proficiency.
Aptitude with third party software and integrated apps.
Extensive working knowledge of Microsoft Office Applications.
Computer power user.
Effective composition skills required for writing letters, detailed community announcements and drafting policies.
Effective time management and organizational skills and the ability to perform with a sense of urgency while adhering to multiple timelines
Ability to read, analyze, and interpret technical procedures, leases, regulations or documents with a similar degree of complexity.
Physical demands include ability to lift up to 50 lbs.
; Standing, sitting, walking and occasional climbing.
The employee is required to work at a computer for extended periods of time as well as talking on the phone for extended periods of time.
Ability to work extended hours based on project requirement.
Bachelor's degree, or equivalent experience.
Valid driver’s license.
Ability to respond to emergencies in a timely manner.
