We’re currently seeking a Full-time Front Office Specialist primarily located at our Menorah location in Overland Park, KS, but also supporting our Legends location in Kansas City, KS.
Our Front Office Specialists are the first impression for our patients, schedule patients for services, works in collaboration and continuously with patients and their family/caregiver(s), clinic/specialty providers and staff in a team approach to promote timely access to appropriate care, and performs a variety of front office, clerical, and record keeping duties.
Other key responsibilities include, but are not limited to: Creates a friendly environment and greets every patient upon arrival Schedules and reschedules all routine healthcare services.
Coordinates the scheduling of referrals daily from our preferred providers.
Performs daily confirmation of all clinic appointments.
Receives incoming calls and texts from patients, doctors offices and others and takes appropriate actions Generate and maintain appropriate healthcare records.
Receive incoming correspondence via EMR and review/forward to appropriate staff.
Performs daily data entry of medical appointments, special instructions, and patient information.
Prepare reports and forms as directed by the manager and in accordance with established policies.
Faxes and emails confidential documents using MS Outlook, Gmail, and/or the Internet Handles daily copay and balance collections, payment processing and end of day balancing.
May assist with daily opening and/or closing of the clinic May complete well defined moderately complex tasks and/or projects Provides reliable solutions to a variety of problems such as patient payments, scheduling, documentation concerns Participate in department and clinic meetings as well as professional development activities Demonstrates current competencies applicable to the job position.
Documents concisely, precisely, and accurately on all records or documents as indicated by policy Ensures regular, physical attendance on a predictable basis May perform day-to-day and/or special projects as needed.
Maintains a safe and clean work environment including ensuring the admission desk is kept clean and organized Works collaboratively with customers and team members to achieve balanced scorecard objectives Maintains knowledge of and complies with established policies and procedures.
Reads, understands and follows HIPAA regulations and maintains the strictest confidentiality at all times Complies with all regulatory requirements including OSHA, HIPAA, Ascentist Policies and Procedures and Ascentist Employee Handbook.
Works within a team to perform this role, cross train, support other team members in their task and Performs other job-related duties as assigned/necessary.
Qualifications Education, Experience & Certifications: High School Diploma or equivalent Must posses training and/or specialized coursework in general office practices such as typing, accounting and communication Must possess a minimum of one year substantially similar work experience in a medical practice setting, performing substantially similar essential functions Demonstrated understanding of medical terminology Knowledge, Skills & Abilities: Demonstrates proficient understanding of front office tasks and responsibilities and carries them out effectively Demonstrates proven communication skills with the ability to convey written and verbal information accurately and effectively to a wide range of patients, doctors, medical and administrative staff Demonstrates effective listening skills Ability to compose, type and assemble information in proper business form, including the ability to type at least 40 words per minute Proven ability to work concurrently on multiple projects with varying priorities in a fast paced, dynamic environment Proven record in attendance, demonstration of reliability and dependability in prior roles Demonstrates effective time management with the ability to plan and organize work, adjust schedule and duties as requested and work overtime as needed Demonstrates friendly, personal, and timely patient care/customer service skills Demonstrates proficiency using computer, software, and Internet Technologies (Outlook, Word, Excel, Internet Explorer, Windows) Demonstrates proficiency with effectively using general office equipment including phones, fax machines, copiers, and other similar office technology on a regular basis Demonstrated ability to maintain accuracy and attention to detail in a fast paced, dynamic environment.
Demonstrated ability to maintain confidentiality in performance of essential functions Demonstrated ability to speak, read, write, and understand English Demonstrates a desire and a commitment to promote and share the Ascentist Healthcare mission, values and culture Ability to pass a background check Understanding of and ability to comply with all regulatory requirements including OSHA, HIPAA, Ascentist Policies and Procedures and Ascentist Employee Handbook Ability and willingness to travel between local offices Desirable Qualifications Two years experience working in a medical front office Ability to speak and understand other languages.
